When it comes to accounting, folks generally separate into two camps: those who transact, and those who analyze.
Any of the major small-business accounting programs--Peachtree, QuickBooks, Microsoft Small Business Accounting, DacEasy--will serve entrepreneurs in either camp. But if you're an analyzer, chances are you'll feel most at home with one of the just-released editions of Peachtree Accounting. That's especially true if you carry inventory. It's not that Peachtree's 2007 editions have features competitors don't. It's about depth in certain key areas and a degree of flexibility that appeals to those who--if truth be told--kind of dig accounting.
Most of us are transactors, of course, because that's the easiest thing to be. A good accounting program will take a lot of bookkeeping drudgery off your shoulders--but nothing saves time like dumping your shoebox on a paid professional. The only trouble with that particular strategy is, even if you strike gold early on, fortune never smiles on a business forever. You're bound to hit a rough patch sooner or later--sooner if competitors hear about your margins. That's when a good accounting program really comes in handy.
Star to Steer By
Just recording your transactions in a program like Peachtree creates the most important database you'll ever own--the one with your company's key financial details. Peachtree also happens to be an excellent container for customer and vendor records, syncing tightly with Microsoft Outlook and Sage Software's ACT!
As transaction information piles up, standard Peachtree reports will let you compare your performance to those of competitors or industry averages kept by organizations like the Risk Management Association. RMA's website is also a good place to find useful standard operating ratios, like an instrument panel to steer your business in the right direction. Before you know it, you'll be analyzing--something you can't do if your financial data is sitting on an accountant's computer.

A CPA herself, Walker, 45, needs quick data access because she and her husband, Lindsay, 47, manage eight separate business units with combined annual sales of $8 million and a 60-employee payroll. Peachtree lets her roll up the accounts of all her units when preparing payroll or financial statements, but isolate their performance milestones when meeting with her unit managers.
That kind of strong reporting gets stronger still in Peachtree Premium 2007 and the new Peachtree Quantum 2007, says Dean Penderghast, certified Peachtree consultant with Anaheim, California, Sales Automation Services Inc. Premium and Quantum use Pervasive's 32-bit data engine--it holds more data per record and delivers it faster than the 16-bit Btrieve engine in other Peachtree versions. Quantum can also juggle still-larger databases and more simultaneous users than Premium.
One Bean, Two Beans.
Companies needing high-level data management and reporting include mixed product/service businesses like contractors, architects--anyone tracking jobs or projects. It's particularly critical to the margins of manufacturers, wholesalers, retailers and e-tailers who face the twin challenges of costing and managing large inventories.
For example, Paula Gilliland, a Roswell, Georgia, accounting consultant and owner of e-commerce site PocketScope.com, uses Peachtree to orchestrate the comings and goings of thousands of parts and assemblies for her $900,000 medical instrumentation business and one client's large inventory. Many parts are used in several different subassemblies, and if there's a failure, Gilliland, 44, has to quickly find the bad part among hundreds of similar subassemblies, see if it's under warranty and arrange a replacement.
Keeping too much of something increases carrying costs and, maybe, capital costs. Keeping too little can increase handling and shipping costs, or cost you customers. Both erode margins, so Gilliland leans heavily on Peachtree reports when trying to arrive at just the right inventory mix. The difficulty of this task was underscored recently when Intel had 38 percent shaved off its quarterly profits primarily because it didn't sync up inventory and sales. If it can happen to a company with Intel's market experience and business resources, think how easily it could happen to a smaller, product-oriented business.
Of course, not every growing business faces these kinds of challenges. But if you do, you could fare worse than Peachtree's tools. After 30 years of use by companies with 100 or fewer employees, they're pretty well-honed.
How peachy is peachtree 2007?
Pros: Fast and easy to use with a degree of record detail unique in its class. A new interface brings key business barometers forward on a home page, while tabs permit quick hops to other modules. There's new flexibility in budgeting, cash-flow analysis and the use of lists and custom data fields. Formatting, formulas and lists are maintained when you swap data with Microsoft Excel or Outlook.
Cons: None. But Peachtree may be more program than you need if you sell services exclusively, or only one or two people need simultaneous access to your books.

Over the years, QuickBooks has garnered up to 85 percent of the small-business market, primarily due to one fact: Most small-business owners are not accountants. QuickBooks is designed to be simple to use regardless of your level of formal accounting experience. However, it also supports traditional accounting methodologies and is compatible with TurboTax business software, and most accountants are familiar with QB file formats. The program's setup wizard asks first if you want to start a new file or import from QuickBooks or Money, then prompts you for some company details (including which add-on packs you want). Setup will also include your online banking access and tools for your accountant.
An Outlook-like interface greatly simplifies navigation and data entry. Customer and vendor records are exceptionally thorough and flexible, with company, contact, and financial details, as well as user-defined fields. Simple record forms are available for service and non-inventory items. There is, however, no inventory tracking. Transaction forms—invoices and quotes—are simple, clean, and modifiable in Word (though some operations in Word were a bit patchy). When I tried to modify letter templates, generate letters, or export forms to Word, I got error messages and could not complete those operations.
Payments received and refunds can also be processed. Users can create basic time entries and time sheets, based on employee records. (These records tend to be a bit on the bare-bones side, owing to Microsoft's dependence on ADP for payroll processing. Manual processing is possible, but kludgy.) You'll have to pay for ADP's services, of course. You can also modify and create a stable of reports appropriate for the level of service the program provides. You won't find Open Invoices or Missing Checks, for example, but staples such as Balance Sheet and Profit and Loss are available.
What really sets Office Accounting Express apart from its competitors is the add-on services it offers. You can, for example, set up your items for sale on eBay and pull in PayPal and other payments for processing. ProStores offers this with StoreSync, but using it is not nearly as comprehensive or easy as Office Accounting makes the task. Equifax reports help you gauge your customers' and vendors' creditworthiness, and merchant accounts are available. All these pieces are easy to set up and use, though they do involve extra fees. Still, since users didn't pay for the basic software, they should have a little extra cash kicking around. Integration with Office, particularly between Outlook and Business Contact Manager, allows a real-time shared database and tools such as marketing campaigns and access to Office Accounting data and forms.
Office Accounting Express offers an extraordinarily easy path to Microsoft Office Accounting Professional, which costs $149. Designed for more complex businesses, Professional contains 40 additional reports and cash-flow forecasting, class tracking, a company home page offering a birds'-eye view of finances, job costing, and more. In addition, it allows inventory management, multiuser sharing, and multiple currency support. (We reviewed what became Microsoft Office Accounting Professional when it was simply Microsoft Office Accounting (beta); we'll be updating that review soon.)
Microsoft's product pairing is smart. New accounting software users who need more than Intuit's bare-bones (but capable) SimpleStart can take on a wisely crafted entry-level accounting program at no expense and easily upgrade it if necessary. Office Accounting Professional is roughly comparable with QuickBooks; and costs about the same, but we prefer it for its advanced Office integration, overall design and feature set, and add-on business services.
Office Accounting Express is difficult to compare with other products in this class because of the unusual eBay and PayPal integration. But those benefits aside, I rate it between Intuit's SimpleStart (entry-level accounting for business users who want the very basics) and Intuit's QuickBooks Pro (which offers better reporting and inventory tracking and more payroll options). Your mileage may vary, of course, but it's hard to argue against at least trying Office Accounting Express, which is quite an attractive proposition at the low, low price of free. Of course, the time you'll spend implementing it isn't free, but I think it's an investment that's likely to bear fruit.

INVOICE MANAGER

Invoice Manager billing and invoice software has easy to understand buttons and icons and the ability to track inventory, print barcodes and manage vendors. This software can even work with barcode scanners, which is rarely seen in this level of accounting software. It can automatically create purchase orders and email them to vendors when an inventory item meets a set minimum level.
It doesn’t do everything, but this billing and invoice software has the basics covered. It can invoice, email invoices, accept payments, track customers and manage product. Like many software companies these days, Hillstone Software is in the international market and supports three languages, English, German and French. It can also work with three-letter currency codes, such as USD, EUR and GBP.
This billing and invoice software does not have a time billing function or a timer; it really is more suitable for working with inventory and vendors than time/service oriented businesses. Not all software at this level includes an inventory module or vendor tracking, so if you need these functionalities you may want to consider this program. It can track product by name, code, purchase price, sale price and quantity in stock. It can also run product reports that are exportable to other programs.
Invoice manager has quite a few reporting options. It can also create useful lists such as customer, product and services lists.
It does have an integrated SMTP email client and any item that it can create such as invoices, credit notes and quotes can be emailed as a PDF, but this part of the program is not as easy to use as some of the others we have looked at. It can also track basic customer information, but we would like to have seen it have the ability to store multiple addresses per client such as a billing and shipping addresses. It will let you create a customized invoice field for showing that type of information but it is not already integrated into the program.
Invoice Manager is a decent program and we like its inventory, purchase order and vendor abilities, which many other programs in this review did not have. We also like that it can work with barcodes and scanners, which can be extremely useful in inventory management.
